Executive Relations Manager
Needham Partners, a leading international producer of high end conferences and live event development services, is seeking tech-savvy, highly-organized, Executive Relations Manager to work full time in its Bedford Hills, NY office (adjacent to Metro-North train station). The position is responsible for managing paid participants of high end conferences, with the goal of guaranteeing a smooth registration process and the best customer service possible, including pre-event, on-site and post event. Candidates must be proactive and solutions oriented, have excellent communication and computer skills with a rigorous attention to detail, good sense of humor, and enjoy working in a collaborative environment. Candidates must have ability to manage multiple demands under pressure, and represent our clients with both pride and enthusiasm. Minimum of two years event planning experience preferred.
Responsibilities will include:
1) General Customer Relations
• Executive Relations database management, with daily updates
• Weekly status reporting, which provides updates on acceptances, cancels, regrets and pending registration, for delegates, speakers, sponsors, and special guests.
• Email confirmation letters, obtain bios/photos for conference materials, data form management (requesting choices for breakout sessions, attendance at dinners etc). Update database & Executive Grid with all information received from data forms.
• Work with respective hotels for each event to manage room block commitment for delegates, speakers and staff.
• Work closely with production director to manage F&B estimates running up to the event.
2) Travel requirements/On Site Responsibilities
• Attendance at domestic and international conferences is required.
• Work with staff to consolidate registration and sponsor materials to be given to each delegate/speaker.
• Supervision of registration desk on-site, leading the registration process for both delegates and speakers, answering questions and general problem solving.
• Work closely with production director to keep F&B numbers current for each social event during the conference.
• Run reports for moderators for names and numbers of delegates attending their session(s).
